At Event Logic we know how important it is for your invitations to reach their destination. We also know that there is a big competition to reach the recipients inbox, which is why we have collected some information and tips that can be good to keep in mind before sending your invitation.
WHAT CAN YOU DO TO IMPACT THE DELIVERY OF YOUR INVITATIONS?
- Make sure the content is simple and relevant
- Try not to style the text too much and not include too many pictures and links
- Avoid including an appendix (documents, pdf files and such)
- Avoid common spam words and exclamation marks in the header and text that can be marked as spam or as suspicious email
- Proofread the header and text to avoid any spelling errors
- Make sure to enter a relevant sender name
- Ensure your mailing list is in good quality and that there are no misspelled email addresses and ensure all email addresses are active
- Once you have sent the invitation, analyse it and correct any mistakes in the email addresses
COMMON REASONS WHY PARTICIPANTS HAS NOT SEEN THE INVITATION
- The recipient has a folder in their inbox for campaign emails, which might route the invitation to that folder instead of their primary folder
- Email was automatically filtered as junk mail and is in the junk mail folder
- The organisation has a security setup that only allows emails from whitelisted domains and IP addresses
- Participant has a lot of emails and has not read the invitation yet
- Participant might have deleted the email since it did not look relevant for them
- The mail address is incorrect or inactive
- Soft bounce (mail was not delivered, the email service will retry in a few hours automatically).
TIPS!
If a recipient is getting an email from Event Logic for the first time, there is a risk that the email will not reach their inbox. Below we have listed some tips that can help in ensuring the recipients are aware that you sent an invitation:
- Complement the invitation with an information mail sent from your companies domain and refer to the invitation they have received and advise they should check their spam folder if they cannot find the invitation. If they find the email in the spam folder, most email providers allow a user to move the email from the spam folder to their inbox and also mark future emails as safe.
- Complement the invitation by also sending information via SMS
- Contact the recipients organisation and advise them to whitelist our IP address that we use for invitation mails - 23.249.222.51
